Privacy Policy
1. Who we are
We Massage People Not Egos is a shared massage brand and website used by independent massage therapists.
Each therapist operates their own massage practice and remains the data controller for their own clients, bookings and treatment records.
That means the therapist you book with is responsible for deciding how and why your personal information is used in connection with your treatment.
For general enquiries submitted through the shared We Massage People Not Egos website, Faye and Kasia may jointly manage that information for the purposes of responding to your enquiry and running the shared brand.
We take your privacy seriously. We only collect information we genuinely need to manage enquiries, bookings, provide safe and appropriate massage, maintain accurate records and meet legal, insurance and professional responsibilities.
2. Information we may collect
Depending on how you contact us or which therapist you book with, we may collect:
Contact details — your name, email address, phone number and anything you choose to include in an enquiry.
Booking information — appointment date, time, location, treatment type and any booking notes you provide.
Health and lifestyle information — relevant information about injuries, pain, medication, medical conditions, allergies, pregnancy, recent surgery, work, physical activity or lifestyle where this may affect your treatment.
Treatment notes — information about what was discussed, treatment provided, areas worked on, pressure used, relevant observations and aftercare.
Payment information — information needed to manage payments, although we do not store full card details ourselves.
Website information — basic information about how visitors use the website where cookies or analytics are enabled.
Enquiry information — anything you choose to tell us through a contact form, email or other communication.
We do not ask for personal information simply because it might be interesting. If we ask for it, there should be a reason.
3. Why we use your information
Your information may be used to:
respond to enquiries
manage bookings and appointments
provide safe, appropriate and personalised massage
maintain accurate client and treatment records
provide relevant aftercare information
manage payments, cancellations and appointment communication
meet legal, tax, insurance and professional record-keeping requirements
maintain and improve the website
understand how people find and use the website
manage enquiries from therapists interested in working with or joining the brand
4. Our lawful basis for using your information
UK data protection law requires us to have a lawful reason for collecting and using personal information.
Depending on the situation, we may rely on:
Contract
Where you make an enquiry or book an appointment, some information is needed so your therapist can take steps before providing a service or provide the service you have booked.
Legal obligation
Some information may need to be retained to meet legal requirements, including tax and accounting obligations.
Legitimate interests
We may use limited personal information where reasonably necessary for running the business, providing good client care, maintaining security, responding to enquiries and improving services, provided those interests do not override your rights.
Consent
Where consent is required, we will ask for it.
Health information is classed as special category personal data under UK data protection law and is treated with additional care.
Where explicit consent is relied upon to process health information, you may withdraw that consent. However, if your therapist does not have the information needed to assess whether massage is appropriate and safe, they may not be able to provide treatment.
5. Health information
Massage is personal, and some health information can be relevant to whether treatment is appropriate or needs to be adapted.
We only ask for information that is relevant to your treatment and safety.
This may help your therapist understand whether:
massage is appropriate for you
a particular area should be avoided
the treatment should be adapted
an appointment should be postponed
you may need advice from an appropriate healthcare professional before treatment
Please let your therapist know if relevant health information changes between appointments.
Your health and treatment information is held by the therapist you book with and is not automatically shared with other therapists working under the We Massage People Not Egos brand.
6. How we store and protect your information
We take reasonable steps to keep your information safe and private.
Information may be stored using secure:
booking systems
digital client records
email accounts
payment systems
accounting systems
website and hosting systems
Where third-party providers are used, we aim to use reputable services with appropriate security and data-protection measures.
Access to client and treatment information is limited to the therapist responsible for that client unless there is a lawful and appropriate reason for it to be shared.
7. Who we share information with
We do not sell your personal information.
If you book with Faye or Kasia, the therapist you choose is responsible for the information connected with your booking, consultation, treatment and client records.
Your therapist may share information where reasonably necessary with:
booking or payment providers
accounting or tax services
insurers
professional advisers or legal services
website, email or technology providers supporting their business
relevant emergency or medical services where there is a serious and immediate safety concern
Information is not automatically shared between therapists simply because they both work under the We Massage People Not Egos brand.
Where information genuinely needs to be shared, there must be an appropriate reason for doing so.
8. Third-party services
We may use third-party services to help operate the website and individual massage businesses.
These may include:
website hosting
booking platforms
payment providers
email services
analytics providers
accounting software
These providers may process limited personal information on our behalf or on behalf of the individual therapist you book with.
Some providers may store or process information outside the UK. Where this happens, appropriate safeguards should be used in accordance with UK data protection law.
9. How long we keep information
We keep personal information only for as long as there is a genuine reason to do so.
As a general guide:
General enquiries: up to 12 months where you do not become a client
Client and treatment records: normally at least 7 years after your last appointment, or longer where required by insurance, legal or professional guidance
Financial records: normally 6 years for tax and accounting purposes
Therapist or business enquiries: for as long as reasonably necessary to manage the enquiry or ongoing relationship
When information is no longer required, it will be securely deleted or destroyed where reasonably possible.
10. Marketing
We will only send marketing communications where we have an appropriate lawful basis to do so.
Where you have chosen to receive marketing, you can unsubscribe at any time.
You can also contact us and ask not to receive marketing communications.
Appointment confirmations, reminders, booking changes and important information about a service you have booked are service messages, not marketing.
11. Cookies and website analytics
This website may use cookies and analytics to help it work properly and understand how people use it.
Cookies are small files stored on your device.
Some cookies are necessary for the website to function. Others may help us understand things such as:
which pages people visit
how visitors find the website
how the website is being used
whether parts of the website are working effectively
Where consent is required for non-essential cookies, you will be given the option to accept or decline them.
More information may also be provided in our Cookie Policy.
12. Your rights
Depending on the circumstances, you may have the right to ask us to:
tell you what personal information we hold about you
provide a copy of your personal information
correct inaccurate or incomplete information
delete information where there is no longer a lawful reason to keep it
restrict how your information is used
object to certain uses of your information
transfer your information to another provider where applicable
withdraw consent where consent is the basis for processing
We will respond to valid requests as soon as reasonably possible and normally within one month.
Where your request relates to treatment records, you should contact the therapist you booked with directly.
13. If you have a concern
If you are unhappy with how your personal information has been handled, please contact the relevant therapist or We Massage People Not Egos first so we can try to resolve the issue.
You also have the right to complain to the Information Commissioner’s Office (ICO), the UK regulator responsible for data protection.
